Quotation

A quotation tells a client what a job will cost before they commit: who is quoting, for whom, each item with quantity and unit price, the subtotal, VAT and total, and how long the price holds. Fill in the fields and the quote renders as you type; the results panel also counts the days of validity and warns if the "valid until" date is before the quote date.

Terms are free text: payment schedule, what is excluded, delivery time. Keep them short and specific; separate paragraphs with a blank line. When the client accepts, issue an invoice with the same line items using the invoice generator.

VAT is calculated on the subtotal at the rate you enter and rounded to two decimals, the same way as the invoice generator. A quotation is an offer, not a tax invoice, so it does not replace one.

How to use it

  1. Enter your business details and the client's.
  2. Set the quote number, date and the date the offer is valid until.
  3. Add line items with quantity and unit price, and set the currency and VAT rate.
  4. Write the terms, check the total, then click Print / Save as PDF.

Frequently asked questions

How do I save it as a PDF?

Click Print / Save as PDF and choose "Save as PDF" (Chrome, Edge) or the PDF button (macOS) as the printer. Only the document is printed; the rest of the page is hidden.

What is the difference between a quotation and an invoice?

A quotation is an offer made before the work, valid for a period; an invoice requests payment for work done or goods supplied. Tax rules apply to invoices, so send an invoice once the quote is accepted.

How long should a quote be valid?

It is your choice. 14 to 30 days is common; use a shorter period when your costs change quickly.

Can I add a discount?

Enter the discounted unit prices and state the discount in the terms, for example "Prices include a 10% loyalty discount". That keeps the VAT calculation on the amount actually charged.

Is anything I type stored or sent?

No. The document is built in your browser as you type and disappears when you close or reload the page. Save the PDF if you need a copy.
